Attendance Procedures

At Gildredge House, we believe that outstanding attendance is important to ensure children are safe and have full access to the educational provision made for them.

At Gildredge House, we believe that appropriate attendance promotes exceptional routines of behaviour and disciplines for adult life. It is the responsibility of parents/carers to ensure that their children attend school at the times specified. It is the responsibility of the school to promote good attendance and to have systems in place to keep accurate records of school attendance. Attendance at school must be maximised in order to raise the achievement of all students and improve their prospects in adult life.

Health, Illness & Absence

If your child is absent from school due to illness, please notify the school before 8.ooam by using the ‘Absence Reporting’ link in the EduLink app, by sending an email to absences@gildredgehouse.org.uk or by telephoning 01323 400650. Please select option 2, 1, 1 for Primary absences and option 3, 1, 1 for Secondary or Sixth Form absences and remember to include your child’s full name, Tutor Group / Class and reason for absence. Please notify the school on each day of absence. We do expect all children to attend on a daily basis, but if a leave of absence is required due to exceptional circumstances, please complete a Request for Withdrawal from Learning Form  [PDF] a minimum of 14 days in advance of the day(s) concerned.

Medical Appointments

Should your child need to leave school during the course of the day for a medical appointment, the Attendance Team should be informed in advance, using the ‘Absence Reporting’ link in the EduLink app, by sending an email to absences@gildredgehouse.org.uk or by telephoning 01323 400650. Please select option 2, 1, 1 for Primary absences and option 3, 1, 1 for Secondary or Sixth Form absences and remember to state your child’s full name, Tutor Group / Class and reason for absence. An appointment card must be provided as evidence of the appointment to the Primary School Office or Secondary and Sixth Form School Office. This can be attached using the ‘paperclip’ in the Absence Reporting link in the EduLink App or emailed to absences@gildredgehouse.org.uk. Students leaving school before the end of the school day should report to the Secondary and Sixth Form School Office to sign out.

Attendance: Primary

Registration – Reception to Year 4

All children should arrive from 8.25am and enter their classroom. They should be encouraged to organise their belongings e.g. book-bag and coat for themselves. While staff are available for a quick word, they will also use this valuable time to talk to the children and read with them. If your child arrives after the 8.45am start, they should report to the Primary School Office to be registered late.

Check-out

Your child will be checked out from the appropriate door by a member of staff at the end of the day. If your child has been booked into an after school club, they will be escorted there. Each child will only be checked out to the parent/approved adult. If your child is to be collected by another adult, please ensure this is written in the child’s home/school contact book and an Authorisation to Collect my Child Form [PDF] is completed.

Please ensure that your child is picked up promptly in order to allow staff to engage in other appointments and duties. When leaving an after school club, children must be signed out by the person collecting the child. If a child is not collected at the appropriate time, we will follow the procedure as outlined in our Uncollected Child Policy [PDF].

Registration – Years 5 and 6

All children should arrive from 8.10am until 8.20am and enter their classroom. If your child arrives after 8.20am, they should report to the Primary School Office to be registered late.

Check-out

Your child will be checked out from the appropriate door by a member of staff at the end of the day. If your child has been booked into an after school club, they will make their own way there. As the children are older,  they are allowed to walk home or alternatively make their own way to their parent.

Please ensure that your child is picked up promptly in order to allow staff to engage in other appointments and duties. If a child is not collected at the appropriate time, we will follow the procedure as outlined in our Uncollected Child Policy [PDF].

Attendance: Years 7 – 13

Students register with their Form Tutor at 8.25am; it is important that all students are present for registration. If your son/daughter arrives after 8.25am, he/she is recorded as late and must sign in at the Secondary and Sixth Form School Office or designated location. Students who are persistently late for morning registration will receive a sanction. Consistent lateness and poor attendance will be followed up by the Tutor, Head of Year or Attendance Officer, according to our Student Attendance Policy [PDF]
